Answer WhatsApp customer questions with your business information
Customers may ask about products, service terms or opening hours again and again. Give your GAIAI agent the right information and working rules so it can reply in connected WhatsApp conversations using that information.
Example
Illustrative customer question
“What is the difference between your two plans?”
If the agent can access your current plan information, it can explain the differences. If that information is missing, you need to update the source before relying on its answer.
This is an illustrative example, not an actual conversation.
- You prepare the product and service information it can use in replies.
- You set the agent’s task and rules in a separate management Space.
- You check the connection and review important customer commitments.
How do you prepare a WhatsApp agent?
- 01
Prepare your business information
Keep product details, service terms and common answers up to date in the sources you use. Define which information the agent should use and which questions it should handle.
- 02
Connect your phone with a QR code
Scan the QR code in the console from WhatsApp’s linked devices screen. The connection runs through a WhatsApp Web session; check its status in the console.
- 03
Review the rules and activate
Set the agent’s task and working rules in its separate Google Chat management Space. Check its answer sources before you activate it.
What to know before you start
- QR pairing uses WhatsApp Web. It is not an official WhatsApp Business Cloud API connection. Session availability and platform rules can affect operation.
- The agent can send customer replies within its task and permissions. Do not assume a person approves every reply or action separately; review important commitments.
- To write to an existing record table, you must also define the table, fields, task and access permissions. Do not assume a ready-made CRM connection.
Common questions about the WhatsApp agent
How do I connect WhatsApp?
Scan the QR code shown in the console using WhatsApp’s linked devices screen on your phone. This creates a WhatsApp Web session, not an official Business Cloud API connection.
What information does the agent use to reply?
It draws on the business profile, working rules and information sources you allow it to access. Outdated or missing information can lead to a wrong answer, so keep those sources current.
What if the connection drops?
Check the connection status in the console. Follow the reconnect step and scan a new QR code if needed. An active agent setting alone does not prove the phone session is connected.
Does a person approve every customer message?
No separate approval should be assumed for every action. Set the agent’s task and permissions in advance, and review the results of replies involving prices, delivery or commitments.
